Expo is around the corner, and your calendar is filling up with meetings. When you arrive at Expo, your phone will automatically update your time zone, and your calendar entries need to be scheduled properly to make your life easier. For example, I live in the Eastern Time Zone, and if I schedule a meeting for 3 p.m. at Expo, when I get to Las Vegas, it will show as a 12 p.m. meeting. Fortunately, there are two simple tips to make your life easier when scheduling meetings in different time zones.
The first is the simplest.
Include the time of the meeting in the calendar event. This way, even if you schedule your meeting incorrectly, you know what time the meeting was intended to be. This tip alone saves a ton of confusion when your brain begins to play tricks on you and suggest that perhaps you didn’t schedule it in the right time zone.
The second tip takes a slight amount of effort, but ensures the best result.
In addition to ensuring the time is listed in the meeting topic, ensure you schedule the meeting in the Pacific Time Zone. While you can just figure it out on the fly each time, I suggest updating outlook to show both your time zone and the Pacific Time Zone for Expo. Open Outlook, choose File, Options, and select Calendar. Scroll down to the section labeled “Time Zones,” and choose to “Show a second time zone.” Then, give it a label (“PT” in my example below) and choose the Pacific Time Zone just below. When you get to Expo, all your meetings will be shown at the right time. Now only if Outlook could help you asleep past 4 a.m.
